ODYSSEY MANAGEMENT SYSTEM

Features & Benefits

Submission Clearance

This process was designed to log all quote/order submissions into the system. It will provide a status of all business being submitted with a free-form description of the risk along with the status of whether the risk is bound, declined, or pending. The insured name, dba name, and street address are indexed to provide a cross-reference to duplicate submissions. A unique control number is assigned to each submission.

Quotation

This process was designed to issue generic laser printed quotations. The submission information is called forward via the submission control number. Multiple quotes may be generated without re-keying information. The ability to fax or e-mail the quote directly from the underwriter’s workstation is available. For those companies with in-house financing, a finance agreement can automatically be sent along with the quote.

Cash Application Log

This process was designed to record new and renewal business down payments on the same day they are received. The cash can then be deposited into the bank before the policy or binder is issued. In effect, the log suspends the cash in a controlled manner. The cash does not move to the accounts receivable until the policy or binder is invoiced. It also produces a register with the date the cash was suspended. This register allows you to identify items you have cash on but have not yet issued.

Binder

This process was designed to issue generic laser printed binders. Additionally, all binders can automatically cause an invoice to be issued.

Policy Issuance (optional)

This process was designed to provide policy issuance capabilities (no rating) for companies using the standard ISO declaration pages and attachments. Currently, the system produces general liability, property, inland marine, crime, commercial auto, garage liability, motor truck cargo, professional liability, business owners package, farm owners, excess liability, liquor liability, workers comp and Lloyd’s certificates. The system also produces laser printed schedules, endorsements, renewals, cancellations, reinstatements, and certificates of insurance. All monetary transactions will automatically cause an invoice to be issued.

Invoicing

This process was designed to issue invoices if the binder or policy issuance process is not used. Additionally, all business processed through any of ITC’s rating and policy issuance systems will interface with the invoicing process.

Premium Accounting

This sub-system maintains a detail open item receivable and payable for every premium, fee, or tax that enters the system. The master file is on-line and available to view each producer’s or company’s account and to apply cash receipts and disbursements for immediate updating. Registers are produced daily to balance cash and various reports are produced monthly to provide control over the receivables and payables. Agent’s statements are produced monthly but can be reprinted at anytime during the month after the application of cash. Automated laser trust check issuance is also provided.

Direct Billing (Optional)

This sub-system provides for the direct billing of policies on various payment plans. Commission statements and commission checks are produced.

General Ledger

This sub-system maintains a basic general ledger. The sub-system provides separate daily registers for journals, receipts, and disbursements. Month-end reporting provides the general ledger, profit and loss, statement, balance sheet, and bank reconciliation. Up to 99 separate entities can be supported. Automated laser operating check issuance is also provided.

Premium Statistical

This sub-system provides for various monthly reports, such as, expirations, policy register, audits, 1099 reporting, renewals, non-renewals, and earnings/experience reports. An integrated report writer is available to query the premium statistical and claims masters for the ad hoc production of various statistical or experience reports. Data can also be extracted on demand by using any ODBC compliant report writer.

Claims Tracking

This process maintains all information relative to filed claims and incurred losses. Paid losses and loss adjustment expenses are maintained separately. Reserves are automatically adjusted when payments are applied.

Integrated Diary System

This process maintains a comprehensive diary system that is integrated into all other parts of the system and supports suspended notes, permanent and non-permanent entries, letters, and flags.

Business Directory & Control Files

This sub-system maintains an on-line master file of entities (such as, producers, companies, etc.) that the firm does business with. Each entity is assigned a unique six digit numeric or alphanumeric code. The sub-system provides alpha searching and master registers. Additionally, this sub-system maintains various control file master files for the online editing of data as it is entered into the system.
